The Data Analyst, under general supervision, serves as the primary point person and subject-matter expert for advancement systems, data coordination, reporting, analytics, and gift operations within the University Advancement division at Prairie View A&M University (PVAMU). This position gathers, compiles, analyzes, interprets, and reports data while identifying trends and patterns to support operational effectiveness, strategic planning, donor stewardship, and institutional decision-making. The position supports integrity, accuracy, security, compliance, and maintenance of advancement of data and philanthropic revenue by combining data analytics, system administration, operational coordination, and financial stewardship responsibilities.
The role functions as the day-to-day operational lead for the advancement of customer relationship management (CRM) system and related platforms and collaborates closely with University Advancement, the Prairie View A&M Foundation (PVAMF) Finance team, University Finance, Information Technology, and other stakeholders. Final authority for Advancement Services policies, processes, and standards resides with the Director of Advancement Services. This position reports to the Senior Manager of Development Operations, who provides managerial oversight and escalation support as appropriate. This position is designed for professionals with strong systems, data, operational, or analytical backgrounds and does not require prior experience in advancement services or fundraising.
The salary is determined in accordance with the University’s compensation structure and will be commensurate with the candidates’ education and experience, within the assigned salary range for this position.
Responsibilities:
Develops, maintains, updates, and manages databases and reporting systems for specialized projects and operational functions.
Serves as the primary administrator and point of contact for the advancement of CRM system and related platforms, ensuring accurate constituent, donor, gift, pledge, prospect, and fund data.
Implements and maintains data standards, business rules, naming conventions, and coding structures as approved by Advancement Services leadership.
Coordinates ongoing data quality initiatives, including audits, validation, reconciliation support, and data cleanup activities to ensure data integrity and consistency.
Configures and maintains system settings, user access, security roles, imports, exports, and integrations in collaboration with Information Technology and in accordance with approved policies.
Supports system enhancements, automation initiatives, and implementation of new tools by gathering requirements, testing functionality, and assisting with user adoption.
Collects, manipulates, tallies, and analyzes quantitative and qualitative data using accepted statistical and research methods.
Coordinates and supports the timely and accurate processing of gifts and pledges across all giving channels, including online transactions, mailed payments, corporate and foundation gifts, matching gifts, securities, wire transfers, and in-kind contributions.
Partners with the PVAMF Finance team and University Finance to support gift deposits, fund transfers, reconciliations, and supporting documentation between Foundation and University systems.
Ensuring gifts and pledges are recorded, classified, and tracked in alignment with donor intent, institutional policies, and regulatory requirements. Assists with reconciliation activities between advancement systems, Foundation records, and University financial systems by supporting data review, issue resolution, and documentation processes.
Supports compliance with IRS regulations, CASE standards, AFP Donor Bill of Rights, institutional policies, and audit requirements.
Identifies potential data or process issues and escalates discrepancies, risks, or exceptions to leadership for review and resolution.
Supports pledge tracking, billing schedules, reminders, adjustments, write-offs, and reconciliation activities to assist with donor fulfillment and revenue forecasting.
Responds to requests for information and prepares standard and ad hoc reports, dashboards, queries, analyses, and data extracts in various formats.
Analyzes and interprets institutional, donor, fundraising, and operational data to identify trends, patterns, and opportunities for improvement.
Compiles data into usable reports and presentations for leadership and stakeholders. Prepares, maintains, and presents historical, comparative, and performance data to support strategic planning and decision-making.
Supports campaign, annual giving, and major gift reporting, including segmentation, forecasting, trend analysis, and performance measurement.
Ensures the accuracy and consistency of data used in donor stewardship reports, surveys, impact reports, recognition efforts, and compliance reporting. Prepares and presents technical information and educational materials for non-technical audiences in a variety of public and professional settings.
Serves as a liaison among University Advancement, PVAMF Finance, University Finance, Information Technology, and external vendors regarding systems, reporting, data management, and gift operations.
Provides functional support and guidance to advancement staff and student workers utilizing advancement systems or gift processing workflows.
Develops and maintains standard operating procedures (SOPs), documentation, and training materials related to system usage, reporting, data handling, and gift processing workflows.
Participate in cross-functional initiatives supporting fundraising operations, donor stewardship, institutional advancement goals, and continuous process improvement efforts.
Performs other duties as assigned.
Required Education and Experience:
Bachelor’s degree in Information Systems, Computer Science, Data Analytics, Business, Finance, Statistics or related.
Two years of related experience.
Required Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others.
Excellent verbal and written communication skills.
Preferred Qualifications:
Three (3) years of progressively responsible experience in data collection, reporting, analytics, systems administration, operational support, or data management.
Experience working with enterprise systems, CRM platforms, financial systems, databases, or reporting tools preferred.
Advancement services, fundraising, or donor management experience is not required; however, candidates must demonstrate the ability to work within complex, compliance-driven operational or financial environments with a high degree of accuracy and accountability.
Working with complex databases or enterprise applications, including responsibility for reporting, security, system configuration, or data integrity.
Experience supporting CRM, ERP, financial, or business intelligence systems. Familiarity with reconciliation support, audit preparation, data privacy, internal controls, or regulatory compliance.
Experience in higher education, nonprofit, government, or similarly complex organizations.
Experience with Blackbaud, Salesforce, or comparable CRM platforms. Experience with data visualization and reporting tools.
