Role overview

Enable the Group Executive to perform at their best by providing proactive, trusted and high-quality executive support. Acting as a close partner to the Group Executive, this role creates capacity and momentum by managing priorities, diary, inbox, tasks, travel, expenses, key internal and external stakeholder interactions and governance commitments. The role requires sound judgement, professionalism, discretion, initiative and a highly organised approach to managing competing priorities in a dynamic and fast-paced environment.

Your team

ASX Supervision is responsible for supervising listed entities and market participants to support fair, orderly and transparent markets and fair and effective facilities, maintain market integrity, strengthen investor confidence, and contribute to financial system stability. ASX Supervision comprises four teams: Participants Supervision, Listings Supervision, Enforcement, and Transformation and Operational Performance. ASX Supervision works closely with regulators, market participants, listed entities and other stakeholders to support confidence in Australia's financial markets. The division is focused on achieving supervisory excellence through a proactive, risk-based, visible and transparent approach to supervision.

Your responsibilities

• Act as a trusted partner to the Group Executive, anticipating priorities, managing competing demands and supporting effective strategic leadership and stakeholder engagement.

• Manage and optimise the Group Executive's diary, inbox, action items and workflow, ensuring priorities are coordinated and critical matters progress.

• Develop a strong understanding of divisional priorities and stakeholder relationships, using sound judgement to identify, escalate, delegate and coordinate matters requiring executive attention.

• Build and maintain effective relationships with internal and external stakeholders, acting as a professional and trusted point of contact on behalf of the Group Executive.

• Coordinate executive meetings, leadership forums and stakeholder engagements, including agendas, briefing materials, correspondence, logistics and action tracking.

• Monitor governance obligations, reporting deadlines, approvals and key divisional deliverables to ensure commitments are met and emerging priorities are managed proactively.

• Manage domestic and international travel end to end, including itineraries, logistics, contingencies and expense reconciliation.

• Complete all administrative activities accurately, efficiently and in accordance with ASX policies and procedures.

• Identify and implement opportunities to improve administrative processes, executive office efficiency and ways of working.

• Exercise sound judgement and discretion when handling confidential, commercially sensitive, regulatory and people-related matters.

• Deliver consistently accurate, professional and high-quality work across all interactions and outputs.

Your experience and qualifications

Must have

• Significant experience supporting a senior executive, preferably at Executive Leadership Team, C-suite or equivalent level.

• Demonstrated ability to manage multiple competing priorities in a fast-paced and complex environment.

• Exceptional organisational, planning and coordination skills.

• Strong written and verbal communication skills.

• High levels of discretion, professionalism and judgement when handling confidential information.

• Strong attention to detail and commitment to quality.

• Proven ability to work independently, take initiative and anticipate needs.

• Advanced Microsoft 365 skills.

Nice to have

• Experience within financial services, legal, regulatory, compliance or professional services environments.

• Experience coordinating executive-level stakeholder engagement.
