• Serve as primary point of contact for vendor communications, responding to inquiries and facilitating issue resolution
• Review and process vendor quotes, verifying compliance with contracted rates and approved scopes of work
• Monitor compliance schedules and proactively manage vendor performance to meet contractual obligations
• Maintain detailed records and documentation for inspections, work orders, and compliance activities
• Communicate regularly with clients and internal stakeholders on program status, issues, and resolutions
• Adapt quickly to shifting priorities and urgent situations while maintaining program continuity
• Identify process improvement opportunities and implement innovative solutions to enhance program efficiency
• Prepare comprehensive reports on program metrics, vendor performance, and compliance status
• Collaborate with cross-functional teams to address challenges and ensure seamless program delivery

Required qualifications:

• Bachelor's degree in Facilities Management, Business Administration, related field, or equivalent work experience
• Minimum of 3-5 years of experience in program coordination, vendor management, or administrative operations in multi-site environments
• Proven ability to manage high volumes of work with exceptional organizational skills and attention to detail
• Strong vendor management and relationship-building capabilities
• Excellent written and verbal communication skills with demonstrated client interaction experience
• Ability to pivot quickly when priorities shift and manage competing demands effectively
• Collaborative mindset with ability to work cross-functionally and build productive working relationships
• Proactive problem-solver who identifies issues and develops practical solutions
• Proficiency with work order management systems, tracking software, and Microsoft Office Suite (proficiency in Corrigo is a plus)
• Comfortable working independently in a remote environment while staying connected to team objectives

Preferred qualifications:

• Experience managing compliance programs or coordinating inspection activities
• Familiarity with fire and life safety systems or building compliance requirements
• Background managing programs for large-scale, geographically distributed portfolios
