About You

The ITAD Operations Associate will own the financial side of our IT Asset Disposition program, a small, fast-moving team responsible for what happens to hardware at the end of its life, and for the money that comes back when it's resold or recycled. You'll own the final word on whether a settlement is right. Half of that is investigative: a deposit that doesn't match any invoice, a partner file that's quietly missing a hundred devices, revenue a vendor earned months ago that never reached our books. You find it, you prove it, you close it. Increasingly, you won't do that hunting alone. We're building AI agents that work these queues inside ITAD OS, our internal operations platform, pulling partner files apart, matching deposits against revenue, flagging the rows that look wrong, and we're putting the best AI tooling available into this team's hands as fast as it ships. That moves the job up, not away: the agent proposes, you decide. Your value becomes knowing what the right answer should look like, catching the case the agent got confidently wrong, and turning a workflow you've been running by hand into one that runs itself with you supervising it. If you'd rather be the person who automates their own job than the one it gets automated around, this is that seat. 

This posting is for the finance-focused seat on the team. Alongside your primary ownership, you'll be trained across the rest of our ITAD operations —data destruction documentation, vendor management, shipping and logistics — so the team can cover for one another. Everyone here rotates.

The position offers a flexible hybrid schedule: you will work one day per week onsite and four days remote. Compensation includes 15 paid working days (PTO) plus local holidays, comprehensive medical coverage (OSDE Plan 310) for you and your dependents, reimbursement for eligible wellness activities, English lessons, global and local events participation, and much more! 

What you’ll do and how you’ll have an impact

• Ingest settlement and revenue reports from our resale and recycling partners. Every partner sends a different format, and a real part of the craft is turning messy vendor data into clean, trustworthy records without introducing errors.
• Reconcile device-level and order-level ITAD revenue against actual bank deposits, and allocate deposits to settlements.
• Investigate unmatched records, ambiguous serials and variances.
• Own the end-to-end credit issuance workflow in partnership with Finance.
• Raise and resolve discrepancies directly with our vendor partners.
• Own financial reporting for the ITAD program, including revenue and margin, and produce executive-ready summaries that go straight to leadership.
• Review and ingest Certificates of Destruction and data destruction reports from partners, matching them to the devices they cover.
• Monitor ITAD action queues, ensuring steps are followed per SOPs and that we're hitting our service level objectives.
• Support shipment and recycling order workflows with our warehouses and partner facilities: pick lists, ship and receipt dates, and resolving receipt exceptions.
• Maintain and enrich our internal database of fair market value estimates per device, drawing on secondary market platforms, trade-in partners and historical resale data.
• Act as a primary point of contact between Operations, Finance, Customer Success and Warehouse teams for ITAD financial workflows.

What we’re looking for

• 2–5 years in reconciliation, cash applications, billing, audit, accounts payable/receivable, or financial operations. This is a hands-on execution role.
• Demonstrated experience finding and resolving discrepancies, not just processing transactions. We'll ask you about a number that didn't tie and what you did about it.
• Strong Excel / Google Sheets: lookups, pivots, text-to-columns, deduplication, and genuine comfort cleaning up badly formatted exports.
• Strong spoken and written English. You'll speak and write directly to partners in the US and UK, and to colleagues over Slack. Expect this to be assessed.
• The judgment to know when something is wrong, and the confidence to escalate rather than force a match.
• High attention to detail, and the ability to run several parallel workflows without losing track of any of them.
• Comfortable with structured SOPs, but restless about improving them.
