This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Legal Assistant-Litigation Legal Assistant based in Brazil.
This is a remote legal support role focused on helping a busy litigation practice stay organized, accurate, and on schedule.
You will support attorneys and paralegals across multiple active matters, handling essential administrative and legal coordination tasks.
The role combines case file management, document preparation, calendar and deadline tracking, and client follow-up.
You will contribute to smooth case progression by maintaining reliable records and ensuring important information is accurate and up to date.
Strong communication and attention to detail will be essential when working with legal teams, clients, opposing counsel, and other external parties.
The position suits a proactive and dependable professional who can work independently while collaborating effectively in a fast-paced environment.
You will have the opportunity to take ownership of meaningful legal support responsibilities while working remotely on a consistent U.S. Pacific Time schedule.
Accountabilities:
- Maintain accurate and up-to-date client, case, contact, and matter information within practice management and CRM systems, ensuring records remain organized and reliable.
- Organize, label, maintain, and review legal files and case documentation, while preparing basic legal documents, correspondence, forms, pleadings, and other materials using approved templates and case-specific information.
- Manage calendars by adding hearings, meetings, deadlines, and case-related events, proactively monitoring upcoming deadlines and communicating pending tasks to attorneys and paralegals.
- Provide day-to-day administrative and legal support across multiple active matters, balancing competing priorities while ensuring assignments are completed accurately and on time.
- Support prospective client screening, scheduling, and follow-up activities in accordance with established procedures, including approximately three to four outbound follow-up calls per week when required.
- Communicate with clients, opposing counsel, and other parties through phone and email, follow up on outstanding documentation and case requirements, and send routine correspondence as directed.
- Take accurate notes during internal meetings and case discussions, assist with preparing case timelines, review documents carefully before submission or distribution, and maintain confidentiality when handling sensitive legal information.
- Demonstrate initiative by seeking clarification when instructions are unclear, applying feedback constructively, and proactively offering support to team members when additional assistance is needed.
Requirements
- Previous experience as a Legal Assistant, Administrative Assistant, Litigation Assistant, or in a similar legal or administrative support role is preferred, with plaintiff-side litigation experience considered an advantage but not required.
- Strong organizational and time-management abilities, with exceptional attention to detail and accuracy when managing legal documentation, records, deadlines, and case information.
- Excellent verbal and written communication skills in English, with the ability to communicate professionally with attorneys, paralegals, clients, opposing counsel, and other external parties.
- Ability to manage multiple priorities and active matters simultaneously while consistently meeting deadlines in a fast-paced environment.
- Comfortable working independently, taking ownership of assigned responsibilities, and collaborating effectively with a broader legal team.
- Professional judgment and discretion when working with confidential legal and client information.
- Comfortable using phone and email for client communication and follow-up activities, with the ability to receive feedback positively and incorporate it into future work.
- Familiarity or willingness to work with practice management systems, CRM platforms, VOIP phone systems, email and calendar tools, internal communication platforms, and Microsoft Office or Google Workspace.
Benefits
- Monthly compensation of 1,150 to 1,220.
- Fully remote position based in Brazil.
- Monday through Friday schedule, working from 8:00 AM to 5:00 PM Pacific Standard Time (PST).
