This is a high-impact executive support role partnering closely with the CEO while providing additional support to senior leadership as needed.
You will serve as a trusted operational partner, managing complex schedules, travel, meetings, and sensitive information with exceptional judgment.
The role requires someone who can anticipate executive needs, resolve competing priorities, and proactively identify solutions before issues arise.
You will coordinate critical logistics including board meetings, conferences, events, travel, and expense processes across multiple time zones.
The position offers significant visibility across the organization and the opportunity to contribute to cross-functional projects beyond traditional executive assistance.
This is a fully remote role in a fast-paced environment where discretion, responsiveness, flexibility, and attention to detail are essential.
The ideal candidate is calm under pressure, highly organized, technology-enabled, and comfortable supporting time-sensitive priorities when needed.
Serve as the primary Executive Assistant to the CEO while providing additional executive support to other senior leaders as required.
Manage complex calendars across multiple time zones, proactively resolving conflicts and prioritizing competing demands.
Coordinate domestic and international travel arrangements while helping implement and maintain effective travel policies.
Own end-to-end Travel & Expense processes, including expense preparation, submission, tracking, reconciliation, and follow-up.
Plan and coordinate conferences, corporate events, and executive gatherings, including venue research, registration, scheduling, logistics, and on-site support.
Coordinate board meeting materials and logistics, including agendas, presentations, schedules, and supporting documentation.
Anticipate executive needs, identify potential risks or opportunities early, and recommend practical solutions before issues arise.
Handle confidential and sensitive business information with a high level of discretion, professionalism, and sound judgment.
Provide occasional evening and weekend coverage for urgent or time-sensitive executive priorities.
Support corporate offsites and events, including travel when required.
Take ownership of ad hoc projects and cross-functional initiatives that support broader organizational priorities.
Adapt quickly as business needs evolve while maintaining accuracy, responsiveness, and strong executive service.
10+ years of experience supporting C-suite executives, ideally within a fast-paced, high-growth, or similarly demanding environment.
Previous experience supporting executives within a public company environment is a plus.
Proven ability to manage high-volume calendars, complex travel arrangements, shifting priorities, and time-sensitive requests under pressure.
Exceptional attention to detail and accuracy across scheduling, travel, expenses, executive materials, and confidential information.
Strong judgment, discretion, and professionalism when handling sensitive business matters.
Excellent written and verbal communication skills with the ability to interact confidently with senior executives and internal stakeholders.
Demonstrated ability to work independently, anticipate needs, prioritize effectively, and solve problems proactively.
Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
Proficiency with Google Workspace, Microsoft Office, or comparable productivity platforms, with the ability to learn new systems quickly.
Familiarity with AI productivity tools such as ChatGPT or Claude and the ability to use technology to improve day-to-day efficiency.
Comfortable working in a fully remote environment with a high degree of autonomy and accountability.
Flexibility to accommodate occasional evening, weekend, or off-hours support when business priorities require it.
Authorized to work in the United States without requiring current or future employer sponsorship.

Competitive annual base salary targeting $125,000–$150,000, depending on education, skills, experience, and location.
