- Identify exceptions, trends, and recurring errors in automated invoice processing, partnering with the team to investigate and resolve root causes.
- Ensure accounts payable transactions have appropriate supporting documentation based on transaction type and company policies.
- Perform complex reconciliations of high-volume vendor accounts, investigating and resolving purchase order, invoice, and payment discrepancies.
- Conduct outstanding check reviews, follow up on stale-dated items, and support escheatment and unclaimed property compliance.
- Maintain accurate supplier records, including new vendor setup, W-9 collection, remittance addresses, banking information, and payment terms, while following established internal controls.
- Process vendor refunds and credits, ensuring transactions are accurately recorded and applied.
- Monitor and manage the shared Accounts Payable mailbox, prioritizing and responding to vendor, restaurant, and internal inquiries in a timely and professional manner.
- Serve as a point of contact for restaurant operators, internal departments, and external suppliers, providing responsive support and resolving payment-related issues.
- Collaborate with Accounts Payable team members to balance workloads, share knowledge, and meet month-end and payment-cycle deadlines.
- Recommend improvements to accounting processes, systems, and automation tools to enhance efficiency and accuracy.
- Perform additional projects and duties as assigned by the Accounts Payable Lead or Accounting Manager.
What We’re Looking for:
- Degree in Business, Accounting or Finance or an equivalent combination of education and Accounts Payable experience.
- 2+ years of accounts payable or general accounting experience; multi-entity or multi-brand experience preferred.
- Strong analytical and problem-solving skills, with a sharp eye for detail.
- Experience with automated AP or OCR invoice processing tools and an ERP system (Workday experience a plus).
- Intermediate to advanced Excel skills (VLOOKUP/XLOOKUP, pivot tables).
