WHAT YOU'LL DO IN THIS POSITION

In this role, you’ll partner with deans, faculty, administrators, and other event hosts to understand their goals and translate their vision into well-designed, professionally executed events. You’ll take ownership of events from initial concept and planning through on-site execution and follow-up, coordinating the many people, vendors, details, and deadlines that make an event successful. The ideal candidate is a strong communicator and problem-solver who enjoys working with people, managing complex logistics, and creating an excellent experience for guests and participants.

Key Responsibilities:

• Plan and manage events from start to finish, working with event hosts to understand their goals and develop event plans, timelines, and budgets.
• Coordinate event logistics, including venues, catering, travel, lodging, transportation, audiovisual needs, registration, materials, and participant communications.
• Manage vendors and internal partners, including selecting vendors, negotiating pricing and services, and coordinating with Law School and University departments.
• Oversee on-site event execution, serving as the primary point of contact and resolving logistical issues or last-minute changes.
• Manage post-event follow-up, including expenses, reimbursements, event records, and feedback to improve future events.
• Supervise and train part-time event staff and help develop effective event-planning processes and procedures.
• Maintain strong working relationships with event hosts, participants, vendors, and campus partners while ensuring compliance with University and Law School policies.

WHAT QUALIFIES YOU FOR THIS ROLE?

Required:

• An associate’s degree and two years of experience in event planning or as an administrative assistant.
• Strong organizational and project-management skills, with the ability to manage multiple events, deadlines, and priorities simultaneously.
• Excellent written and verbal communication skills and the ability to work effectively with faculty, administrators, guests, vendors, and other stakeholders.
• Strong attention to detail while maintaining a clear understanding of the overall purpose and objectives of an event.
• Ability to anticipate needs, solve problems, and make sound decisions independently in a fast-moving environment.
• Strong customer-service orientation and ability to create a professional and welcoming experience for event hosts and participants.
• Ability to manage budgets, expenses, contracts, schedules, and other event-related administrative details.
• Ability and willingness to work occasional evenings or other nontraditional hours as required by scheduled events.

Preferred:  

• Bachelor's degree AND two or more years of related experience 
• Previous professional experience in event planning, conference management, hospitality, project management, or a related field.
• Experience planning complex events involving multiple vendors, speakers, guests, or internal stakeholders.
• Experience negotiating with and managing outside vendors.
• Experience supervising, training, or coordinating the work of others.
• Familiarity with event registration, scheduling, project-management, or related software.
• Experience working in a university, professional school, nonprofit, or similarly collaborative environment.

Pay Grade: 49

Typical Starting Pay: $23.25 to $30.00 hourly

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
